Verbarium is responsible for this Privacy Policy, as well as for processing any personal or business data collected through the form on the website or offline.
Under this Privacy Policy, Verbarium defines:
Customer: Any entity that acquires our services; and
User: Any visitor to this website.
Applicant: Any person who provides us, in any way, with their personal data for recruitment purposes as an internal or external employee.

Collected data
Verbarium collects data from its Customers and Users by submitting a form for this purpose, in digital and/or physical format. It can also collect data following personal contact by phone or via e-mail (or any other electronic means, for example, through our pages on social networks or via any messaging service currently in use).
Verbarium is the entity responsible for collecting and processing this data, deciding the categories of data collected, the processing it is subject to and the purposes for which it is intended.

Use of data
The data collected is intended for the process of communication with Customers and Users, processing information requests, compliance with contractual requests, business inquiries or other legal obligations.
Verbarium neither markets nor shares its Customer and User database with third parties.
- Business documents
Unless expressly requested by the Customer, we will retain all business document translations, in strict confidentiality, for a maximum of 5 years in order to ensure future updates requested by the Customer.
- Documents containing personal data
In application of the General Data Protection Regulation (GDPR) in force as of May 25, 2018, all personal data relating to natural persons will invariably be deleted after fulfilling the purpose for which they were requested or received, except for data required for invoicing purposes.
Any personal data about natural persons provided by the Customer will be used solely for the purposes for which they were provided, and for as long as necessary to fulfill such purposes, and will not be provided to third parties except to fulfil legal obligations or the language service requested by the Customer.
You must give us your written consent so that we can quote / translate / review / proofread / adapt / transcribe any document containing personal data about you or minors under your care. The consent form will be sent to the Customer by e-mail. After duly completed, the Customer must e-mail us this consent form.
You can withdraw your consent at any time by e-mail.
Access to Data
Verbarium will not disclose any personal data of its Customers and Users to third parties without their consent.
Verbarium shall take reasonable precautions to ensure that its employees or collaborators with access to personal information receive appropriate training for its correct processing, under this policy and the legal obligations in terms of data protection. In the event of non-compliance, Verbarium will apply disciplinary sanctions to its employees and collaborators.
Data Storage
Verbarium stores only the data of its Customers and Users (name, e-mail, telephone number and TIN/VAT number, if applicable) vital for daily operations, namely, the provision of the service and e-mail communication on the administration’s password-protected and on the Cloud. The Cloud is protected and maintained in accordance with security standards and in order to respect applicable privacy laws.
The remaining data is stored on a dedicated external hard drive and not connected to the external network.
Data Storage Period
We retain the data collected only for as long as necessary within the purpose for which it was collected.
For the purposes described in this Privacy Policy, your personal data will be retained for a maximum period of 12 to 18 months from the date of your consent or from last contact made (whichever occurs last) and if, within this period, you have not withdrawn your consent.
Customer data and other specific data to be retained for the fulfilment of legal obligations may be extended for a maximum period of up to 10 years (in accordance with Article 130.º of the IRC Code), after which they will be deleted.
Applicant Data
Anyone who submits their personal data to us by any means, in response to an advertisement or spontaneously, is consenting to the processing of their data under the terms and conditions set out below.
Verbarium will process the personal data provided for the purpose of managing the person’s application.
These personal data shall be kept for a maximum of two years from their submission in an application pool or, if they are part of an effective recruitment procedure, it may be kept for a further period not exceeding six months after the closure of the application procedure.
We may communicate the data to companies we have hired to pursue the above-mentioned processing purposes on our behalf or to companies managing recruitment processes for Verbarium.
The applicant shall have the right of access, rectification, deletion, limitation of processing and, where applicable, portability of his personal data, as well as the right to object to the processing of personal data on legitimate grounds, and to lodge a complaint with a supervisory authority. You may, at any time, withdraw consent to the data processing now carried out, but this will not affect the lawfulness of the data processing carried out while the consent is valid.
Data Security
Verbarium has taken the necessary technical and organizational measures to adequately protect your data from unauthorized processing and access.
Our company has made every reasonable effort to prevent unauthorized or illegal use of your personal data, as well as its loss, destruction, or damage. Nonetheless, we cannot provide an absolute guarantee regarding the User’s data. Whenever there is a leak, loss or violation of personal data that is likely to involve a high risk to the rights and freedoms of our Customers and Users, we will:
- Notify the supervisory authorities within 72 hours of becoming aware of the event;
- Communicate the situation to the holder(s) of the affected data in a timely manner.

This Privacy Policy does not apply to those websites and e-mail addresses.
If you access a link available on the website, on Verbarium social networking pages to another website and provide personal data on that website, the processing of said data will be subject to the privacy statement of that website.
